Notifications can be sent to stakeholders identified in the workflow to alert them to action needed or other key stages of the workflow. Notifications are created through the use of behaviors.
By selecting the path line, the notification behavior will run when that path is followed in the workflow diagram.
2. In the Path Properties, click Edit in the Behaviors section. The Behaviors view is loaded.
3. Drag and drop a Notify command on to the canvas.
4. In the Notifications section of the Properties bar, click Edit. |
|
5. Click Add to add a new notification rule.
6. On the General tab, name the notification.
a. Select the Attention Level needed. The attention level determines what the notified user will see on their Notifications Dashboard in the Attention Needed graph.
b. Select the Role that should receive this notification.
You may leave Role unspecified and go to the Person tab instead to choose other notification configurations.
|
|
7. The Person tab allows you to choose to send the notification to a role, user, user-group, position, e-mail address provided in the form, static e-mail address or the user viewing the form.
a. If you have specified a Role in the General tab, choose Person assigned to this role.
|
|
8. On the Time tab, you may change the default time parameters for when the notification will be sent.
By default, the notification will be sent immediately. |
|
9. On the Cancellation tab, you may change the default cancellation settings.
These settings determine when the notification will be canceled and no longer show on the Attention Needed graph of the user's Notifications Dashboard. |
|
10. On the Message tab, create the notification message that will be sent. You can enter plain text on the Text tab, or you may choose the HTML tab to add HTML elements to your e-mail notification.
a. In your notification, you can insert a form field, instance number and link to the instance.
Note: The Send by email option defaults to selected. If you do not want your notification sent by e-mail, but would rather have it appear only in the Notifications Dashboard, then clear this check box. Doing this will disable the HTML tab.
|
|
11. On the Email tab, determine which e-mail server will send the notification for your form. You may also choose to override the configuration of the selected e-mail server.
For more information on the Email tab see the Notify Command - Email Tab section of the PerfectForms™ Help Guide.
a. Click OK. |
