1.On the Settings Dashboard, click New then User.

Note: If you cannot load the User tree view, you may need to upgrade your account. Contact PerfectForms™ support or on the Settings Dashboard, navigate to Account Settings > License then click the Upgrade the Account button.

2.Enter the Name, E-mail and other user information.
If you clear the Active check box in the Personal section of the Personal details, the user license will be unavailable until it is selected again.
The Custom ID field can be used to identify the user in behaviors and special conditions. The Custom ID can also be used to identify the user if you are requiring Public User Sign-Up in Player.
3.Choose the Role of the user.
Basic User - Basic users can access the PerfectForms™ Dashboard for accessing notifications, searching for form instances they are involved in and viewing reports. Choosing this option will use a basic license if one is available, or a full license if that is the only license type remaining available for the account.
Full User - Full users can access the above AND can also create and edit forms and reports as well as perform system administration tasks. PerfectForms™ On-Demand and On-Premise accounts are allocated a specific number of basic and full user licenses. If the System Administrator checks the Full Users radio button, a full user license will be used.
Limited User - Limited users cannot log in to the PerfectForms™ application. Limited users can only access PerfectForms™ from links in system-generated e-mails, from other public links or through the Offline Form Manager. While you are not able to log in to the application as a limited user, you can be assigned to user-groups and positions and can also receive notifications. This type of user role does not count against the total user count (either basic or full) allowed for your account.
4.Determine if the user should be able to access forms offline using the Offline Form Manager by setting the Enable offline form filling option. For additional detail on the Offline Form Manager reference the Offline Form Manager topic.
5.Click Apply Changes.
6.You can now assign the user to user groups, positions, workflow roles or send them notifications.

For a full user, the following privileges are available.

Forms - Allows the user to create and edit forms.
Reports - Allows the user to create and edit reports.
Publish - Allows the user to publish forms and reports.
Connections - Allows the user to create and manage connections to databases, directory services (LDAP/Active Directory), text files, Web services and forms. These connections allow forms to read data from and write data to other systems as well as performing lookups.
Folders - Allows a user to create account-level folders that may be viewed by all users in the View Forms area. See Organizing Forms
Users - Allows the user to manage users, user groups and positions.

External Portal - Allows special calls to be made from SharePoint PerfectForms™ Web Parts. See Embedding the Dashboard into Any Web Page.
API - Allows the user to have an external API login and specifies which user account(s) the developer may use to access PerfectForms™. The recommendation is to use dedicated accounts for this. An API key should also be sent to this account which the developer needs to use as security to access the API. See Setting Up API User Access.

Archiving - Allows users to archive form instance to an external database. This feature is not available to users on the PerfectForms™ hosted (On-Demand) service.
