Filtering Your Results List

When initiating an archiving action such as archiving instances, restoring a previously archived instance or permanently deleting a previously archived instance, the filtering options available on the page can help you to more quickly and efficiently pinpoint the specific instances you want to address.

 

For ease of use, the filtering section is positioned in the same location on both the New Archive and Archived Instances pages.

Once you have selected the form(s), you can then filter the form instance results list at the bottom of the page by choosing from any of the following options:

 

Status - Select from Any, Open or Closed to filter based on the current status of the instance.
Name - Enter a specific instance name. You can use an asterisk (*) to perform a wildcard search. Searching is not case sensitive. You should note that if you do not use a wildcard, PerfectForms™ will search for any instances whose name starts with the characters you entered. Options include:
o* - Matches any number of characters. For example, “Do* matches any names which begin with “Do”; “*na” matches any names that end in “na”; “Do*a” matches names such as “Donna”, “Don Maria” etc.
o? - Performs a single character placeholder match (J?hn Doe)
Date of - Select an option from the drop-down list and then select a Before, Between or After date option to filter the list based on this combination. For the drop-down list, select from the following options:
oFirst Submission - Working in conjunction with the Before, Between and After dates below the drop-down, this filters the table to show form instances based upon the date they were first submitted.
oLast Submission - Working in conjunction with the Before, Between and After dates below the drop-down, this filters the table to show form instances based upon the date they were last submitted.

For the date input portion of this filtering option, select from the following options:

oBefore - When this radio button is selected, the Before date entered in the corresponding date input will be used to further filter the form instances list. The value entered into the date input tells the system that the form instances displayed in the list must have had their first (or last) submission before the date provided in this date input.
oBetween - When this radio button is selected, the Between dates entered in the corresponding date inputs will be used to further filter the form instances list. The values entered into these date inputs tell the system that the form instances displayed in the list must have had their first (or last) submission between the two dates provided.
oAfter - When this radio button is selected, the After date entered in the corresponding date input will be used to further filter the form instances list. The value entered into the date input tells the system that the form instances displayed in the list must have had their first (or last) submission after the date provided in this date input.
