Managing Form Instances

Once the form design is downloaded to the Offline Form Manager, new instances can be created. When a new instance is viewed, the form appears in a separate system window (known as the form player) and displays exactly as it currently does inside the online PerfectForms™ application.

Note: In the Offline Form Manager, only new form instances can be created. Existing form instances or notifications cannot be downloaded from the server.


 

When you are ready to conclude your interaction with a new form instance there are 3 courses of action available:

 

1)Save - By selecting the close button [X] in the top right corner of the player, you are prompted with a message asking if you would like to save the changes made to the form instance. If you choose Yes, the data is stored locally and a new local instance is created which can be re-opened later. After an instance is saved, that form instance will display in the list of form instances on the Saved tab.

2)Cancel - If when prompted with the message above you choose No, then the changes are discarded and no new instance is created.
3)Submit - If a form designer has included a submit button on the form (it can be labeled anything the form designer chooses, as long as it has the Submit behaviors associated with it), then you have the option of choosing this to conclude your interaction with the form instance. When submitted, all behaviors (e.g. workflow and notifications) are run and the data is stored locally, ready to be sent to the server later (see Submitting Form Instances to the Server). The form instance will now display in the list of completed form instances on the Completed tab.

 


Form Design Tip: If the designer of a form intends for the form to be used primarily offline, then he or she could include Save and Cancel buttons on the form itself to make concluding form interaction more clear for the user.
