The only way Drop-downs can be dynamically populated is with a connection. You could create a helper form to hold your list and make your changes to the form. Create a connection to the helper that populates the drop-down when the form opens.

Is it possible to populate a dropdown box (when it is displayed or on opening a page)from a Perfectforms predefined list. I note that I can populate it during form design as it appears in the add predifined list. I am trying to avoid changing form design everytime the predifined list changes. Also noted that some time ago it wasn't possible to dynamically update a dropdown, is this still the case?
THANKS

I recommend that you create groups in PerfectForms and send notifications to those groups. Please see our help guide page on the topic: http://www.perfectforms.com/Documentation/manual/html/?d_usergroups.htm.
Please note that if the people who you want included in the group do not already have licenses in PerfectForms, they can be assigned Limited User licenses (which are free).

We are trying to see how to use email distribution list for notification email, so that more than one person can be notified in the workflow, and the form can be processed by anyone who are part of the distribution list.

So far we can successfully send/receive notification emails to/from all the individuals who are on the distribution list, but the hyperlink to the form embeded on the email is not always opening up the form. We are seeing error message: "Only the person who the notification was sent to can view the form-instance".

Any suggestion? Thanks!

If you have a show message behavior on when a field gains focus, you will put the user into an endless loop because as soon as you click OK in the message the field gains focus again. This problem can be solved by choosing another action to trigger your show message behavior.

A form connection is very fast and from a database perspective no different than a get field from other instance. They both pull data from the database. In this case the database is all the same, it is the PerfectForms database.
I don't understand your process fully, but if you want to use a Get Field from Other Instance object, you will still probably need a form connection to get the instance ID of the other instance. That is unless the global variable is the same for every user. If it is the same for every user you can create a global variable form with one instance and reference that instance ID in the Get Field from Other Instance behavior object in your form.

is that the only way to accomplish this? I prefer not to connect to the database everytime i have to check a value. Repetitive connections to the database is primitive and is not preferred since it will use up server resource which shall make the system run slow.

If I understand what you want to do correctly, I think the easiest way to accomplish what you want will be to use a connection rather than a get field in other instance behavior object. If the data you need is in another form instance, create a form connection. Please refer to the page in our help documentation about creating a form connection: http://www.perfectforms.com/Documentation/manual/html/?d_formsconnections.htm.

this behavior doesn't seem to work...

Is there a way to set a global variable which will be visible/accessible in all forms/pages? I'm trying out a system which requires a login, then if user exist, records of user on access level (which is modular based, add/edit/view/module) shall be set to a field (or global variable) and will be checked each time and action/button in the system is taken/pressed. I don't want to connect to db everytime to check on this.

Thanks.

Tip: If you are using a "run behavior" behavior object make sure to name the behavior you are referring to. That way when you (or someone else) return(s) to edit the form it will be easy to see what behavior is being referenced.

Delete it! Don't worry, you will get it back. That's right, if you know that a field is associated with a behavior(s) but do not know which one, delete the field. You will be given a warning message that will list the behaviors associated. This is when you hope that you have properly named your behaviors! Once you have written down the behaviors for reference, click OK, then go to Edit - Undo delete.

I have a question regarding date calculation - how should I calculate whether or not an entered date falls within this current fiscal year (from 9/1 to 8/31).

So far I have a good structure in arranging my elements for this calculation, but I am unable to figure out how to accomplish "year + 1" or "year - 1". Not sure if there is any related function for this, or if I miss anything.

Below is my current logic:

Determine current fiscal year (f_year):
If month(today) >= 9 then f_year = year(today)
If month(today) < 9 then f_year = (year(today) - 1)

Determine if the entered date falls within this current fiscal year:

Check If ( (month(entered_date) >= 9) & (year(entered_date) = f_year) )
OR
( (month(entered_date) < 9) & (year(entered_date) = (f_year + 1) )

Thanks.

I also am experiencing something similar - the Book Page Turning Effect (in V. 1.18) is causing problem for my setting for Gateway-HTTP User. Not sure if this is a bug specific to v.1.18, because we were ok on this when we were using v.1.17. When turning off the Book Page effect then I am able to have this funtion work again. Any input? We really would like to keep using the Book Turning effect on our form(s) if is possible.

Has anyone used the Replace function?

I would like to have the Replace function correct certain elements of a field.

I have two page holiday application form (originally designed for 2010) which has basic employee information on page 1 and a history of holidays on page 2. When page 2 is selected from page 1 a "Page is opened" behaviour runs which basically loads a table with up-to-date data.
I have now duplicated this whole application for 2011 and discovered that when page 2 is selected, the "Page is opened" behaviour does not appear to work.
Have gone back to the 2010 version and that no longer seems to work so am I going crazy or has something changed with one of the last two updates.
HAVE DISCOVERED THAT THE FAULT ONLY OCCURS WITH A "BOOK PAGE TURNING EFFECT" - switch that off and everything works fine. I'm pretty certain that my 2010 application always worked with the "book page turning effect" active.

Sure. Build a helper form and create a single instance of it. When your subject form is submitted open the helper form instance and add a 1 to a field. Your helper form instance should open, add a 1 to the field, and then close. When the field reaches your number (whatever it is) have it send a notification and clear the field.
If your form will be submitted more than once in its work flow you will have to build a behavior behind the submit button so it only opens your helper form when appropriate to your process.
Note that in this scenario you are accessing the same instance of the helper form each time. We do not recommend this method because the notifications will not be in real time (depending on how often the form is submitted), and your notifications will not contain a link to open the new instances.

The short answer is yes. You can definitely create a scheduling system to manage use of an asset. I am setting you up a bit with that answer because there are several different ways to accomplish the task.
One common method is to create a form that contains the available time slots for the asset. You can create different instances for different periods of time (day, week, etc...) depending on your process. Then a second form is the interface for the user. When the second form opens it connects to the first form and returns available time slots. When a time slot is chosen, it once again connects to the first form so the time slot can be "reserved" in the first form. This is of course a very general description of how to manage your process, not a detailed guide.
For information on how to set up a forms connection, please see the following section on our help guide: http://www.perfectforms.com/Documentation/manual/html/?defining_a_perfectforms_connec.htm

If your email notifications to a group in MS Exchange are not getting through, look at the check box on the distribution group in Exchange that says “require that all senders are authenticated”. This is checked by default. Un-check that box, and your notifications should go through.

I need to post a schedule (dates and times) that a user can select and reserve, that will disable that selection when others fill out the form. In other words, show that it is reserved and cannot be selected. Is there any way to do this?

There is no way to display a picture in a form by getting it from an external SQL database via a connection. However if you build an application that dynamically publishes those pictures on a web server and have that URL in the database along with the picture, the form can retrieve the URL and set it as a source for the picture object.

Alternatively you could have every possible image already hidden in a form and show or hide them as called for by a behavior.

Is there a way to save image to a database then retrieve the image? I'm making a user account form where you can create a new account and put a picture or avatar on it. and when you view a user record or profile you can see the picture. MS SQL Server 2005 will be the database
