What you are describing is drilling down to a specific instance(s) and showing a set of fields from that/those instance(s) in a data list. You will have to drill down by several metrics to find your specific instance. The user can do this manually by clicking the reporting objects, for example: A pie chart with the workflow stages - click Final stage. Perhaps you would then drill down by date range using a filter input reporting object. You can also use wild cards in a filter input object to search for words or names in a field.
If you are building a report for a specific individual and want to drill down programmatically when the report opens use Set Filter objects to drill down by pre-set values.
Please review our free training video on reporting: http://www.perfectforms.com/training_videos.php

If I understood why you need to do this I might be able to help. You can drill-down in a report by any metric in your form. The standard function of a report is to filter by form data.
This may help: Data in reporting objects cannot be used in a behavior, but data from form objects can. It is an important distinction because you can use form objects in a report.

As you have found, column values in datalists cannot be used in calculations. You had the right thought about redesigning your form (or simply adding a field to it). Once you have published your form changes you can map all of the existing instances to the new published version. Our help guide contains instructions for mapping instances to the new version: http://www.perfectforms.com/Documentation/manual/html/?fl_mapping_form_instances_to_anot.htm

I have a fairly basic report which uses a datalist with 10 columns. Is it possible to alter the value in a column (make it blank) based on a calculation or value in another column. I appreciate I can redesign the form to fulfil this requirement but want to apply it to a report on 150 previous form instances.
Thanks

I omitted something in my description, sorry. You need to loop through the helper table until you reach the bottom.
After question 94 go to Set Table Rows and move to the next row of your helper table. then to a simple branch (last behavior successful?). If true loop back to the first simple branch for question 1. If false go to the Set Table Rows object for the read-only table.

Thanks for the above, i have just created this but using only the 1st 2 questions as a test. everything works well with an exception of it is not counting all instances, rather it is only counting the value of the 1st row. we have 117 form instances so i was expecting the Yes & no columns for each question to total up to 117, with this solution i am only seeing 1 in either the yes or no column. do you think i may have missed something here?

First create a connection to your survey form. In the action you need no send parameters and return the caption value for every drop down.

In your report add two tables. The first table is a hidden helper table. It has 94 columns, one for each question. The second table should be read-only and have three columns: Question #, Yes, and No. Then you will need to add 188 hidden helper fields: a yes and a no counter field for each question.

When the report opens create a behavior that adds 94 new rows to the second table and number the first column sequentially from 1 to 94. To do this use a hidden helper field for the row count. If you don't know how to do this let me know and I can describe it.

When the page opens create a behavior that uses a connect to enter the value of each question in all rows of each column of the helper table. Then use a Set Table Rows behavior object to move to the first row of the helper table and use a simple branch (is value in column 1 - current row = "yes"?). If true set the question 1 yes counter helper field with the formula: Value of question 1 yes counter + 1. If false set the question 1 no counter helper field with the formula: Value of question 1 no counter + 1. Then use another simple branch for question 2 and build it all of the way to question 94.

After question 94 move to a Set Table Rows behavior object and move to the first row of your read-only table. Then use a Set Field behavior object to set the value of your Yes column - current row with the value of the question 1 yes helper field. Do the same for the no column. Then move to the next row and do the same for question 2. Repeat to question 94.

Hopefully that is clear. The concept is simple but will be a bit tedious to build because you are dealing with a yes and a no for 94 questions.

I have a form that has 94 sepreate questions that each have a yes or no answer within a drop down menu. I would like to have a report, that is in a table format that will list all 94 questions in one column & then would like to have 2 more columns next to this (one titled yes & the other titled no) which will display a count of how many times each question has been answered Yes Or No. Is this possible? as i cannot seem to find a way to pull all the questions into one column!

I have a Data Grid in a report that has an Open button on each row that allows the user to Open the form that contains the information for that row. I want them to be able to export the list to a .csv file - fine. However, I want to exclude the column with the Open button because it shows the Meta data that is not required in the .csv file.

How can I exclude 1 (or more) columns from the built-in generic export? It would be nice if you had a checkbox for each column that said "include in export"...

As I suggested in a recent post, you can filter multiple data sources in a report by using a form object. For example you can use a drop-down or a table and populate it using a form connection. When you choose an item from the drop-down use a set filter behavior object for each datasource on the page. Filter by the value in the form object.

The child form is a different datasource. You can have more than one datasource per report page, but they will not respect the dynamic filtering of objects reporting on different datasources.
I recommend that you use a form object in the report. For example you can use a drop-down or a table and populate it using a form connection. When you choose an item from the drop-down use a set filter behavior object for each datasource on the page. Filter by the value in the form object.

Hello,

I have a report that summarizes the instances of a particular form. This form has two different child forms associated with it. By selecting "Meta - Link" in the datasource, a data grid displays a nice convenient button to open the form instance, but I cannot find a way to do the same with the form's child instances. I've tried saving the child instance ID into a helper table and importing that with the data source, but I just get the instance ID string, not a nice button.
Any way I can do this?

Are you talking about addendum pages in the print, or simply printing all of the pages in your form? Addendum pages will print to accommodate for data that does not fit on the page (hidden by scroll bars). Addendum pages will print without format. Any objects can be hidden/shown before printing regular form pages .

Exactly sir, printing requires me to save it first to PDF (as it is the only option with this development platform) and use another application such as Adobe Reader to open the PDF and have it printed. Is this the only way PF provide for printing reports?
With regards to the setting the state behavior of objects, I understand this process, what I was asking is if this is really how it is done? Do I need to hide buttons? can't I just say print the report (populated from a form) and PF will have that report printed, skipping pages and repeating headers set on the layout on every page thereafter.

I don't understand how Report works. I was thinking this is where I design a layout for my report which I just call, after populating (i.e. table inside report), based on retrieved data from a table in a form. Unfortunately, when I do a print, it just prints the report "straight through" meaning, the layout (headers and margins) only applies to the first page (moreover, buttons inside the report are also included in the print out).

I was also hoping I can specify whether to have the report printed or saved to a pdf file.

(Or is this a purely "on screen" development platform to not cater to reporting requirements as systematically necessary to any business application???)

Thank you. I was referring to PF printing directly into the printer instead of having it routed to a PDF file.

Report printing has been available for quite some time. In your toolbox, you will find a 'Print Button' object. Please refer to the user guide for more detail on print button properties.
