Pros: It is a very fast and very easy way to build out a GUI for a form or similar data collecting tool.
Cons: As a programmer the programming for non programmers way that PerfectForms sometimes handles logic can be very restrictive and it has a really hard time working with Functions and procedures in an Oracle Database.
Overall: I have been using PerfectForms for several years now. Our University started with the system cloud based but after the first year moved in on site where we have continued to grow its’ use all over the campus.
Recommendations to other buyers: Put all your logic and controls in behaviors it is a far easier way to teach the logic to people that do not have a background in a programming related field. It helps visually for them to follow the logic.

As department Graduate Programs Coordinator with four MS/PhD programs, I use Perfectforms for all graduate admissions (approximately 300 applications a year). We are completely satisfied. The program is very flexible, can handle all our needs, and seamlessly collects applications and letters of recommendation for us, including a) notifying us (and the applicant) about materials, and b) requesting letters, all of which we are notified about via email. I can easily access information prior to our application deadlines, and after deadlines have passed, I can download all the information to Excel so that I can manipulate it in various ways for the faculty. I’ve been using PerfectForms since 2007. As the Effectiveness and Efficiency Facilitator, one of my duties is to seek out products and services that will make our processes more effective and efficient.
I was introduced to PerfectForms after being tasked with improving the process of enrolling Dual Enrollment Students. These students are still in High School and receive College credit as well as High School credit for a given course.
One of the greatest challenges of this use case was its workflow. Parents, Students, High School Counselors, the Dual Enrollment Office, Admissions, the Business Office, and Records all had to be involved in enrolling these students every Fall Semester.
With PerfectForms, we took what was a manually routed, paper based process that left parents wondering if they had submitted everything needed, to a fully automated process that is routed via email, incorporated text messaging and email notifications to keep everyone on the same page, and even provided the Counsellors a way to send a High School transcript attached to a PerfectForms paperless but paper-like form. This form included everything that was on a multi-part carbonless form, and even included electronic signatures.
Since then we here at UT Martin and even throughout the State of Tennessee University System, have used PerfectForms to empower users to improve their own processes and even create complete solutions by using over 900 forms.
PerfectForms to us is a beloved tool that allows the repurposing of time to be spent doing more subjective things, and leaving “the paperwork” in the hands of a perfect process, built by “the boots on the ground” using “perfect forms”.

We have used this product for about 5 years. It has served us well in our school district environment. Online training videos are very informative, but on the occasion that I have needed more, support has been most helpful to solve any of my mistakes. Building a form and a report for that form can be done quickly, usually less than a day. It has saved us many hours by using the routing feature, and paper forms are becoming extinct!

Forms Repository & Workflow Management System
We needed a system to provide.a forms repository and workflow automation capability for business applications in our school district. After a nine month search and extensive product reviews, we selected PerfectForms as our first choice system. It has an integrated environment with forms builder, database, and great user functionality. Additionally, one does not need to be a programmer to use it effectively.
A part of our research and evaluation was to determine how difficult the workflow system was to learn and use. We found PerfectForms had everything we needed ONLINE and was able to start using it with no formal training!
The way licensing was setup for commercial clients, did not work for our agency so we discussed this with the company. To our delight, they were willing to be flexible and satisfied our needs. We’ve used PerfectForms for nine years now and have not regretted our decision to implement it.

Build great user experiences and solid applications with PerfectForms
I spent several weeks reviewing forms products, signed up and tried 5 or 6 but settled on PerfectForms as the most comprehensive, mature and well thought through.
With 6 months use of the on-demand version I have been impressed by the robust, comprehensive application development experience provided by PerfectForms. We are now installing the on-premise version where we will transition from web service connection to a database into direct SQL connections.
The only negative points are a) very rarely the Flash player has broken and my work has been lost and b) the name “PerfectForms” does not fairly represent the scope of this lovely product.
For building slick, efficient user interfaces through to complex, enterprise database applications, PerfectForms has been just great. This is not just a forms generation product – it offers so much more.
In addition to having a great product on the rare occasions that support has been required, it has been quick and comprehensive.

Requests that normally took days, are now approved and moved along their route in record time. Powerful Workflow Routing Platform
As the title says, PerfectForms has developed a powerful workflow routing platform capable of handling everything from easy to complex business processes.
We evaluated several competing solutions; none were as easy work with as PerfectForms. We have been using the on-demand solution since ~2012 and it has worked reliably, with one or two major bugs that were ultimately resolved by PerfectForms’ support staff. Documentation, although detailed enough to get you started, doesn’t cover some of the advanced setups we needed. We were able to figure things on our own or with the help of support. We plan to upgrade to the on-premise solution as it delivers greater flexibility than their hosted solution.
Bottom line, good product, people and value. I recommend it!

Easy, Secure, and An Unparalleled Support Team
With PerfectForms, we took a manual paper process for a group of volunteers all over the state, who had different operating systems, hardware, and browsers and created a “21st Century” easy to use and secure activity reporting system. We designed a Summary Report as a dashboard for supervisory staff to access and review individual form instances and keep track of the form as it flowed through its several stages. We are using PerfectForms across our business for all documentation which requires work flow management or approval. Every software has its limitation, but with the eforms made through PerfectForms are limitless.
I was in a project to implement a CPQ solution which could interface with our ERP system to facilitate the expansion of our business. We extensively researched what was available in the market and found that a ready made package was quite a large investment. To trial the new processes before investing in a “proper” CPQ solution, we constructed a simple product configurator tool using PerfectForms since it was already available in the business operating the general corporate forms. It has been almost 3 years since we made our first CPQ eform, it’s limitation has exceeded our expectations. Today it has developed into a sales quoting, engineering request, order management, logistic and quality control tool, all connected and interfacing with our ERP system. I personally don’t think there’s anything out there that can do the same at the level that has been so customized to suit our business and philosophy.
Our experience with using PerfectForms has been quite intuitive and quick when constructing the common business electronic form. If one is experienced with database, web design or workflow management, the result from using PerfectForms is even more impressive and robust enough to cater larger organisations with the complexity required. The team at PerfectForms are very helpful and responsive. The professional services that are offered will address the specific business need or project through consultation with confidence a solution can be made.

Perfect Forms for us started with a need to follow workflow for 2 specific forms; that was two years ago. Since those 2 initial forms our usage has grown and continues to – I believe we are at 65 forms now.
We have been able to eliminate a great deal of paper, and have complete tracking along the way. If user 1 submits a form, we can see that it was approved by the next layer, and currently “stuck” at the final approval. No more “misplaced” paper versions.
The online form designer is both easy and intuitive. Creating a new simple form or adjusting workflow can be done in a matter of minutes. Additional functionality can be easily added along with creating dynamic reports.
Customer service at Perfect Forms is truly phenomenal. Both email and phone calls are answered quickly.
All in all it’s a great service! I cannot say enough good things about Perfect Forms, it has given us the ability to roll out, update, ensure consistency, and track all at once.

After using Perfectforms to carry out a national survey we developed a number of forms to support HR and Finance functions:
HR – Staff holidays, Staff expenses, Absence recording, etc.

Digitizing paper forms and workflows
PerfectForms has allowed us to convert a slow, paper-based approval process to a more timely and efficient digital one. Our first project converted our existing field trip approval process to PerfectForms. Rather than waiting days while shuttling or faxing paper documents to 22 different school buildings, we now approve most field trips within 24 hours. We no longer have to enter data from the forms multiple times for analysis as each department has a report that allows them to view the data that is essential for their operation. The business rules, the form itself and the approval logic were all very complex – and we also needed to integrate Perfect Forms with our CRM and Order Processing systems – but despite these challenges and the high volume of requests, the product has delivered and we have been very happy with our decision – and I wouldn’t hesitate to recommend Perfect Forms for complex workflow applications.

Great solution
Our decision to use PerfectForms for our third generation of electronic forms has been a great one. The system is stable, flexible, and easy to learn. At the same time were able to keep the same look and feel as our second generation forms tool we were able to enhance how the forms work using the built in workflow processes which have reduced the cost of processing the information. BNE operates 334 fast food restaurants and use PerfectForms to collect all types of information from our restaurants from tracking equipment repairs to approving vacation requests.

Perfect Forms for us started with a need to follow workflow for 2 specific forms; that was two years ago. Since those 2 initial forms our usage has grown and continues to – I believe we are at 65 forms now.
We have been able to eliminate a great deal of paper, and have complete tracking along the way. If user 1 submits a form, we can see that it was approved by the next layer, and currently “stuck” at the final approval. No more “misplaced” paper versions.
The online form designer is both easy and intuitive. Creating a new simple form or adjusting workflow can be done in a matter of minutes. Additional functionality can be easily added along with creating dynamic reports.
Customer service at Perfect Forms is truly phenomenal. Both email and phone calls are answered quickly.
All in all it’s a great service! I cannot say enough good things about Perfect Forms, it has given us the ability to roll out, update, ensure consistency, and track all at once.
