Do a Spring Cleaning of Company Forms
The larger the company, the more communication gets passed back and forth between employees. This requires a large variety of forms and systems, which often get updated, changed, thrown out, or added to over time. As a result, you might find your computers filled with forms and templates that nobody ever uses anymore. This is why it’s a good idea to do a spring cleaning of your company forms.
In order to split up the task, assign each department a folder or two of electronic forms for your procedure software to sort through. Most likely you will have forms specific to that department’s use. They can then check which forms have been accessed recently and which had not. For those that haven’t, if they are now obsolete, it’s time to delete them for them good. A good rule of thumb is that if the file hasn’t been accessed for more than three or four years, it needs to be checked out and reapproved for long-term storage. Ultimately, this will make finding the forms you need faster and free up some computer or server space.
